This privacy policy explains how Brooks Contractors collects, uses and protects your personal data when you use this website or contact us about building work. Who we are
Brooks Contractors is the data controller for the personal data described in this policy. You can contact us about anything in this policy by emailing info@brookscontractors.co.uk.
What data we collect
When you send us a quote request or contact form, we collect the details you give us: your name, phone number, email address, postcode, the service you are interested in and any message you write. We also record the page you sent the form from, the date and time, and a one way encrypted version of your IP address so we can prevent spam and abuse.
When you visit the website, we use strictly necessary cookies to make the site work and to remember your cookie choices. We only use analytics or marketing cookies if you agree to them. Full details are in our Cookie Policy.
Why we use your data and our lawful basis
- To respond to your enquiry and provide a quote. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in replying to people who contact us.
- To carry out and manage building work you have agreed. Our lawful basis is the performance of a contract with you.
- To keep records for tax, accounting and building regulations purposes. Our lawful basis is compliance with a legal obligation.
- To protect the website from spam and misuse. Our lawful basis is our legitimate interest in keeping our systems secure.
- To understand how the website is used and to measure advertising. Our lawful basis is your consent, which you can give or withdraw at any time through Cookie Settings in the footer.
We do not sell your personal data, and we do not send you marketing emails unless you have asked us to.
Who we share your data with
We only share your data where it is needed to deliver the service you have asked for. This may include:
- the skilled trade partners who carry out the work on your project, limited to the details they need to do the job;
- our website host and the customer relationship management system that receives website enquiries, which process data on our behalf under contract;
- analytics and advertising providers, but only if you have consented to those cookies;
- professional advisers, building control bodies, insurers or authorities where the law requires it.
Some of our service providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.
How long we keep your data
- Enquiries that do not lead to work are kept for up to 24 months, then deleted.
- Records relating to work we carry out, including quotes, invoices and certificates, are kept for 6 years after the job finishes to meet tax and legal requirements.
- Records of your cookie choices are kept for up to 24 months as proof of consent.
Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to erase your data;
- ask us to restrict or object to how we use your data;
- ask for your data in a portable format;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email info@brookscontractors.co.uk. We will reply within one month. There is no charge in most cases.
How we protect your data
Enquiries are stored securely, access is limited to people who need it, and the website uses encrypted connections. Form submissions are checked for spam and every value is cleaned before it is saved.
